How it works
From role to placement — one place.
01
Build your longlist
Add candidates from your database, LinkedIn, or inbound — directly into any stage of your pipeline. Each role gets its own board with configurable stages.
02
Move candidates through stages
Drag cards between Longlist, Shortlisted, Interview, and Final Stages. Add notes, star ratings, and availability windows at each step. Your pipeline is always current.
03
Send AI-generated client reports
One click generates a branded candidate report and publishes it to your client portal. Clients get a live link — no PDF, no email attachment, no chasing for feedback.
Kanban pipeline
Every placement starts here.
Shortlists gives every job a visual pipeline. You can see every candidate, every stage, every note — without opening a single email thread. Move candidates, add star ratings, log interview feedback, and schedule next steps all from the same board. When a role has 12 candidates across 5 stages, you're never guessing where anyone is.
- Custom pipeline stages per role
- Star ratings and availability notes on every card
- Bulk email to all candidates in a stage
- Interview scheduling synced to Gmail and Outlook

FAQ
Common questions.
Can I customise the pipeline stages?
Yes. Each role can have its own stage configuration — or you can apply a default template to every new role. Common stages (Longlist, Shortlisted, First Interview, Final, Placed) are set up out of the box, and you can rename, reorder, or add stages freely.
What does the client portal look like?
The portal is a clean, branded page with your agency's name and logo. Clients see each candidate's profile, CV, and your notes — and can mark them as Interested, Not Sure, or Pass. You're notified as soon as they interact. No login required for clients.
Can candidates be in multiple pipelines?
Yes. A candidate can appear in multiple active role pipelines simultaneously. Their core record — notes, contact details, history — stays in one place. You'll see a summary of all active placements on their profile.
Does the interview notetaker integrate with the pipeline?
Yes. Notes from a Zoom, Teams, Google Meet, or phone interview are automatically attached to the candidate's pipeline card. You never need to copy-paste interview feedback.
How does bulk emailing work?
Select a stage in your pipeline and use Bulk Email to draft a message to all candidates in that stage. AI can generate a starting draft based on the role and stage — you edit and send. Emails go from your connected Gmail or Outlook account.
